BOOKS A VISIT
Service → date → time → medical aid or cash. Checks free slots against practice hours and Google Calendar.
VOICE NOTES
WhatsApp voice notes transcribed and handled like text. No extra step for patient.
TELEGRAM FOR OWNER
Booking made → Telegram alert. After start time → asks if patient arrived. /noshow if not.

Two buttons.
Book or chat to

Patient messages clinic WhatsApp number. They get greeting and two buttons: Book appointment or Chat to receptionist.

  • • Pick service — first three services by name shown, keep catalogue tight
  • • Pick date, then time — or type another valid one
  • • Choose Medical Aid or Cash
  • • Medical aid: reply YES to POPIA (clinic = Responsible Party), then 4 lines: full name, scheme, membership number, dependant code, then confirm
  • • Cash: name + surname (e.g. Thandi Nkosi) then confirm
  • • Slot free → saved, patient gets confirmation, owner Telegram alert, added to Google Calendar if connected
After booking

Confirm.
Reschedule.
Cancel.

From reminder messages (about 24h and 2h before) patient can:

  • • Confirm — keeps slot
  • • Reschedule — new date/time, medical-aid details kept
  • • Cancel — must confirm again
  • • Chat to receptionist — pauses bot, owner gets PATIENT HANDOFF on Telegram with REFERENCE, /reply REFERENCE message, /resume REFERENCE when done
  • • If trial ended or clinic paused, WhatsApp says assistant cannot book, contact practice

Lists show time + first name and initials only. Attendance asked after start time — only /noshow marks no-show. Failed WhatsApp sends → Telegram alert for follow-up.

Bookings still save if Google Calendar is down — catch-up runs afterwards. Changing hours or services affects new slot offers, not old bookings.
